The Enterprise Business Solutions (EBS) Section supports the automation of business process management (BPM) for the Department of Home Affairs via the delivery of ICT business solutions on enterprise-wide strategic platforms. These strategic Pega Platforms for Home Affairs, facilitate the streamlining and automation of repeatable business activities, allowing staff to re allocate their time to perform more valuable tasks.

 

The Section achieves its goals and deliver on its objectives through:

  • The establishment and ongoing management of strategic enterprise-wide platforms for the Department

  • The delivery of enterprise capability (applications) to support strategic business solutions along with the provision of technical support for the applications and platforms

  • The promotion of enterprise-wide quality engineering through Pega Best Practice design guidance and Pega Design and Development reviews via the Pega Quality & Enablement Centre of Excellence

  • The development of internal capability and provision of training and enablement for the Pega community across the Department - building a network of skilled APS Pega resources internally and supporting overall capability across government.

Our ideal candidate

 

The EBS Platform & Change Support will contribute to and coordinate contract and program administration support to the section as required. This may include managing incoming mailbox correspondence, managing invoices and accounts payable functions in SAP, supporting contract management, change and platform administrative support. This includes working independently or under limited guidance.

 

This role provides Business hours coverage across the working week.

 

Duties and responsibilities

 

  • Liaise with internal and external stakeholders to facilitate project delivery.

  • Co-ordinate and participate in contract management including developing scope, managing tendering processes and monitoring contract performance.

  • Process analytical results and present data into formats suitable for interpretation.

  • Assist with risk assessment and risk management activities for a project or program.

  • Manage expenditure, analyse and report on financial information.

  • Approve or certify payments, entitlement and other forms of expenditure with appropriate delegation.

  • Reconcile invoices and initiate investigation where necessary.

  • Provide advice and technical expertise in specific areas of project activities.

  • Maintain expert knowledge in relevant areas and technical expertise to guide project and programme activities.

  • Coordinate incoming mailbox correspondence and draft responses to external and internal stakeholders

  • Provide support to the projects team as required

  • Monitor contractor expenditure, review and report as required and assist in drafting documents

  • Verify invoices by interrogating departmental systems and ensuring invoices comply with contractual obligations

  • Providing secretariat support by taking minutes, updating actions registers, coordinating meeting schedules and distributing relevant information to attendees or uploading relevant information to Share point

  • Providing change support with relevant change management tasks and activities as well as provide assistance with platform support, as required.

  • Assist with ad hoc activities as required to support team.

  • Working collaboratively and flexibly within the team to deliver quality outcomes in a diverse, challenging and rewarding environment of competing priorities.

  • ITL4 Foundation Certification - IT Service Management

  • Software Life Cycle Management experience.

  • Experience with procurement and or contract management within Government.

Eligibility

 

To be eligible for the position you must be an Australian Citizen.

 

The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance, and:
 

  • ABF Workers will also be required to obtain and maintain an Employment Suitability Clearance (ESC).
  • Home Affairs Workers will also be required to obtain and maintain an Onboarding Check.
     

In certain circumstances, an Employment Suitability Clearance (ESC) may be required in addition to, or in lieu of, an Onboarding Check, which will be determined by the delegate as necessary.
