The Privacy, FOI and Records Management Branch

 

The mission of our Branch is to be a trusted leader in privacy, FOI and records management while also legally and ethically maintaining the integrity of information held by the department and supporting the community's right to access information.

 

The Branch works across all areas of the Department to ensure information is handled as a key strategic and operational business asset and managed in accordance with legislative and business requirements to support accountable, effective evidence-based decisions. We deliver advice, frameworks and services that promote the legal, ethical, accountable and transparent use and disclosure of information and by doing so, support the broader mission of Home Affairs.

 

Business Improvement Section

 

The Business Improvements section supports and develops whole-of-branch enterprise communications and information governance activities. The section manages projects to improve branch processes, systems and client engagement including the provision of client Administrative Review Tribunal (ART) file requests.

Our ideal candidate

 

Reporting to the Director Business Improvements, this position will be responsible for developing and implementing process improvements and enhance efficiency across the Branch. The Improvements team assist with delivery of broad reform programs that effect either individual sections within the Branch or more widely have impact on multiple areas of the Department.

 

The position is involved in the day-to-day functions and performance of the section to ensure alignment with the Department and portfolio strategic objectives including the Corporate Plan 2024-25.

 

Duties and responsibilities

 

Our ideal candidates will be self-driven and demonstrate an ability to undertake the duties/responsibilities as outlined below:

 

  • Lead initiatives and grow capabilities to enable the Branch to continue working effectively in the changing operating environment 
  • Collaborate with cross-sectional teams to gather requirements, define objectives, and prioritise initiatives for business process improvements 
  • Monitor and measure the effectiveness of implemented solutions, and iterate as necessary to continuously improve performance and achieve business objectives 
  • Liaise with internal and external stakeholders, including external vendor and business areas to achieve project deliverables 
  • Project manage complex projects and project administration. Steer and/or undertake testing activities and reporting projects as required 
  • This role may assist with other Branch support functions from time to time, including reporting, briefing, developing and delivering training and enterprise communications.

  • The ability to manage and co-ordinate projects 
  • Knowledge of contemporary project management tools and methodologies 
  • Understanding or the ability to quickly obtain knowledge of critical Information Management subjects such as Records Management, Privacy and FOI 
  • Demonstrable ability to: 
    • engage with a broad spectrum of staff and to develop strong partnerships 
    • operate as part of a team in a dynamic, changing environment 
    • work independently on multiple projects with minimal supervision
    • initiate and identify opportunities for innovation and greater efficiencies.

Eligibility

 

To be eligible for the position you must be an Australian Citizen.

 

The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance, and:
 

  • ABF Workers will also be required to obtain and maintain an Employment Suitability Clearance (ESC).
  • Home Affairs Workers will also be required to obtain and maintain an Onboarding Check.
     

In certain circumstances, an Employment Suitability Clearance (ESC) may be required in addition to, or in lieu of, an Onboarding Check, which will be determined by the delegate as necessary.
