Legal | Privacy, FOI & Records Management | Business Improvements

 

The Privacy, FOI and Records Management Branch's mission is to promote and champion open-by-design, privacy-by-design and effective information management practices, including record keeping. The branch works across all areas of the department to ensure information is handled as a key strategic and operational business asset and managed in accordance with legislative and business requirements to support accountable, effective evidence-based decisions. We deliver advice, frameworks and services that promote the legal, ethical, accountable and transparent use and disclosure of information to support the broader mission of the Department of Home Affairs.

 

The Business Improvement Section supports and develops whole-of-branch enterprise communications, training and information governance activities. The section manages projects to improve branch processes, systems and client engagement including the provision of client Administrative Review Tribunal file requests. For this role, the successful candidate will join the Engagement and Training Team as a Training and Communications Officer.

We are seeking applications from experienced learning and development professionals with strong communication and stakeholder engagement skills to support our staff in the use of best practice for privacy, freedom of information and record management, and who value the role of information management in government.

 

To be successful in this role, the successful candidate will need to be responsive in a complex and fast-paced environment, self-driven, highly organised, have excellent written and oral communication skills, the ability to engage effectively with internal and external stakeholders and manage competing priorities, with the demonstrated ability to:

 

  • Interpret relevant policies and procedures to develop technically accurate education and communication products
  • Engage with a broad spectrum of staff and develop strong partnerships
  • Prepare, edit, produce and deliver training and communications content for a range of audiences using a variety of mediums
  • Operate as part of a team in a dynamic, fast-paced and changing environment
  • Work independently on multiple projects with minimal supervision

 

Duties and responsibilities

 

  • Assist in the management, co-ordination and delivery of ongoing training to the branch and the broader department via in-person and virtual classroom formats
  • Consult with a range of stakeholders to perform training gap analyses
  • Write content for education resources and learning and development products
  • Provide advice and guidance to staff in relation to records management, privacy and freedom of information activities
  • Assist in the review of policies, procedures and resources to achieve continuous improvement
  • Assist with the creation of strategic communications, compliance and engagement strategies
  • Provide secretariat support for various forums

 

Additional information

 

Desirable 

 

Experience as a trainer and the ability to competently use SharePoint, Content Manager and Microsoft products, such as Teams, Word, PowerPoint, and Excel.

 

Knowledge of the Archives Act 1983, the Privacy Act 1988 and the Freedom of Information Act 1982, or the ability to acquire.

Eligibility

 

To be eligible for the position you must be an Australian Citizen.

 

The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance, and:
 

  • ABF Workers will also be required to obtain and maintain an Employment Suitability Clearance (ESC).
  • Home Affairs Workers will also be required to obtain and maintain an Onboarding Check.
     

In certain circumstances, an Employment Suitability Clearance (ESC) may be required in addition to, or in lieu of, an Onboarding Check, which will be determined by the delegate as necessary.
